Flier Distribution Guidelines

The South-Western City School District welcomes the opportunity for non-profit organizations and local businesses to provide flyers for distribution to students and families. Fliers fall between three categories:

  • School-Sponsored Fliers
  • Non-School Sponsored Fliers
  • Community Free Flier Program (eligible non-profits must complete an account and then upload the flier for approval) See below for details

What are School-Sponsored Fliers?

School-sponsored fliers are advertisements for student, family, or staff related events, drives, and fundraisers hosted by the district or in connection with the district. Examples may include: Family Engagement Night hosted by Alton Hall Elementary, Mattress Sale hosted by the GCHS Band Boosters, or Parent’s Night Out sponsored by Stiles Elementary School and the Stiles PTA.

In general, school-sponsored events include verbiage, photos, and links that aim to do the following:

  • Promote the regular academic programs of the schools;
  • Promote the intellectual development of children (e.g. plays, concerts, lectures, crafts);
  • Encourage the physical education programming of children (e.g. school dance, exercise programs, athletics programs);
  • Discounted activities or events for families (movies nights, rewards programs); and/or
  • Coaches employed by the South-Western City School District may distribute fliers for any camps they hold that are directly related to their coaching assignment.

Can this go on Facebook?

Links to school-sponsored fliers that may be of interest to South-Western City School District families may additionally be posted on the District Facebook page. These events or activities are sponsored by SWCSD or a school-related non-profit organization that the Communications Department deems worthy of expanded advertising to reach a broader audience such as from PTAs, Boosters, and Clubs.

Due to the sheer number of clubs and organizations that affect our students, not all fliers can be hosted on the district’s Facebook page. In short, while every cause is worthy in its own right, if we posted every flier our Facebook feed we receive the feed would be a running advertisement section and would unintentionally water down the effectiveness of the messages we need to convey that are non-advertisement related such as academic calendar reminders, district news, and other important announcements.

What are Non-School Sponsored Fliers?

When keeping our families engaged, we believe in providing an opportunity for community agencies to distribute fliers to our SWCSD network at their own cost.

These events are not South-Western City School District endorsed officially, however we allow agencies a pathway to access our Peachjar network.

Peachjar does unfortunately charge a fee for this service. As an extension of our green initiative, we also do not allow non-school sponsored paper fliers to be dropped off in buildings for distribution.

You may register with Peachjar as a ‘Program Provider’ and upload your fliers for distribution to your desired school(s). In your Peachjar account, you will be able to upload your flier and add call-to-action buttons such as ‘Call” and ‘Sign Up Now’ for parents to interact directly with your flier. In your account, you will also have the ability to view flier metrics to monitor your flier campaigns.

After your flier has been submitted through Peachjar, it will be routed automatically to the school district for approval and then emailed as a visually engaging, full-color image to all parents who have their email address on file with the schools.

As a general rule, fliers will not be approved if they contain information that would otherwise go against our student’s acceptable use and discipline policies such as advertising for a poker tournament (gambling), auctioning off firearms to benefit a softball league (weapons), or events advertising alcoholic beverages among other possible topics.

Who qualifies for the Community Free Flier Program?

Peachjar's Community Free (Free Flyer Posting Program) was created to allow local community organizations to distribute their digital flyers to nearby schools at no cost as a way of giving back to communities by covering the fees for one Community Free flier per 30 days for organizations promoting a charitable free program, service, or resource where children are the direct beneficiary. These exemptions are handled through Peachjar corporate and are as follows in order to post for free:

  1. Your charitable program, service, or resource directly benefits children and does not require participants to qualify, has no enticement for future fee-based programs, and does not serve the purpose of fundraising, collecting donations, or allowing for the purchase of products or services.

  2. Your organization is not nationally recognized and physically resides within the boundaries of the school district you wish to distribute to.

  3. Your organization is not receiving fees or revenue from vendors participating in the event.

Submissions are limited to one flier distribution to one school district every 30 days. If you wish to distribute to more than one school district or more frequently than every 30 days, you may choose to distribute a standard flier, subject to Peachjar's fees. Peachjar reserves the right to determine final eligibility.

Peachjar Specifications

All fliers submitted via Peachjar must be in PDF format, between 1-4 pages, and under 6MB in size. We recommend formatting PDFs at 8.5"x11" in portrait orientation for best results. Embedded links will not function after uploaded; call-to-action buttons are available after upload. All fliers will also have the District-specific language appended automatically.
